We process your account details, billing records (held by Stripe), usage counts and, for server tools, the files you choose to process — only to provide the service. You can download your data and delete your account from Account and security.
Send for signature: when you send a document for signature we process the document, the names and email addresses of the people you add, what you write in the subject and message, and the signers’ field values. As evidence of each signature we record the time, and when a signer opens, agrees to sign electronically, signs or declines, their IP address and browser (user agent); these appear on the signing certificate attached to the signed PDF. Documents are encrypted and kept until every signer has finished plus 30 days, then deleted together with this personal data. If an agreement is declined, cancelled or expires, its files and personal data are deleted at once and a record of what happened (without names, email addresses or IP addresses) is kept for 30 days. Signers do not need an account; the signing page has no adverts or analytics.
How long we keep files: files you process with our server tools are deleted 1 hour after processing on Free and within 2 hours on paid plans (Business workspaces may choose less), or at once with Delete now. There are two exceptions to this rule, and both are your choice: documents you send for signature (above), and the cloud library (below).
Cloud library: if you turn it on, the scans and files you choose to put in it are stored, encrypted file by file, on our storage in London so you can open them on your other devices and on macaaw.com. We process the files, their names, sizes and folders, and when they were added or changed. The library is off until you turn it on and nothing is uploaded before then. Files are kept until you delete them; deleted files stay in the Bin for 30 days and are then deleted for good. Uploads that are not finished within 30 minutes are removed. Turning the library off deletes every file in it, and deleting your account deletes your library. In a Business workspace the library belongs to the workspace: files shared with the workspace stay with it when a member leaves, and a member’s private files are moved to the Bin when they leave and deleted for good when they delete their account. When the library is nearly full we email you. Space depends on your plan (1 GB on a free account, 100 GB on Pro, 250 GB per member on Business).
Macaaw Scan: the scanner app keeps your scans on your device, in your browser’s private storage for this site (the origin private file system and IndexedDB), never in the app’s offline cache and never on our servers unless you use a cloud feature. “Delete all scans on this device” in the app’s settings removes them. The app asks before anything leaves your device. Clean-up of a page (flattening, removing fingers, handwriting or marks), reading receipts (merchant, date, total, VAT and category) and Word export send only that page or document to our servers in London; these files follow the deletion rule above, and the app deletes each job as soon as its result is back. Receipt details and expense reports are kept on your device.
Questions about a document: when you ask a question in Macaaw Scan, the text recognised in that document and your question (and, for a follow-up, your earlier questions and answers in that conversation) are sent to our AI provider, Anthropic, under a data processing agreement, to write the answer. Images are never sent. Neither we nor the provider keep the question, the text or the answer, and they are not used to train AI models; we keep only a count of questions for your plan’s allowance (and, beyond it, the credits used). The conversation stays on your device until you clear it or close the app.
OneDrive and SharePoint: if you save a scan to OneDrive or SharePoint, you sign in to Microsoft in a Microsoft window and the file goes straight from your device to your Microsoft account. We never receive the file, your Microsoft password or the sign-in token, which stays in your browser until you disconnect.
