Invoice and table extraction run on our servers in London, and the files are deleted within 2 hours. Merging, page numbers and signing your own documents happen in the browser. Business gives the whole practice pooled allowances, so a heavy month for one client manager draws on what the others don’t use.
Macaaw does not replace your accounting software or your practice management system. It handles the PDF work around them: the client who sends forty photos of receipts, the bank that only provides statements as PDFs, and the engagement letter that has to be signed before you can start. When the practice runs past its monthly allowances in January, credits keep the work moving without moving everyone to a bigger plan.

Accountants ask
Can clients sign engagement letters electronically?
In England and Wales an electronic signature is valid for most agreements, including engagement letters. Documents that must be executed as a deed or signed in front of a witness need extra formalities. Scotland and Northern Ireland have their own rules, so check with your professional body if you are unsure.
How accurate is invoice reading?
It reads printed invoices and receipts well, and marks any field it is less sure of for you to check. You always review the data before you export it.
Does it work with bank statements from any bank?
PDF to Excel and Extract tables work on statements with a text layer. For scanned statements, run OCR PDF first so the text can be read.
Where is client data processed?
Server tools run in London and delete files within 2 hours. Business includes a data processing agreement under UK GDPR, and staff can never open your files.
Which tools need a paid plan?
Extract invoice data is a Pro tool, included in Pro and Business. Most other tools, including PDF to Excel and OCR, work on the free plan within its daily limits.
Can the whole practice share one plan?
Yes. Business is priced per user, from 2 users, with allowances pooled across the practice. Members, roles and saved workflows are shared, and one invoice covers everyone.
