What agents use it for
Built for the paperwork in a tenancy
Tenancy agreements, signed in order
Tenants, guarantors and the landlord sign on their own phones in the order you set. Automatic email reminders chase anyone who has not signed, and the signing certificate records every step.
Inventories with photos
Photograph each room at check-in, turn the photos into one PDF in your browser, then shrink the report so it goes by email without bouncing.
Deposit and prescribed information packs
Merge the deposit certificate, the scheme leaflet and the prescribed information into one PDF with page numbers, so tenants can find each part when they need it.
Right to Rent copies
Scan both sides of an identity document into one PDF and protect it with a password before it goes on file, rather than leaving photos in an inbox.
Gas safety, EICR and EPC certificates
Make scanned certificates searchable, then merge each property’s set into one file you can send to tenants and landlords at renewal.
Uploads to portals and deposit schemes
Pick the size a portal accepts and we fit the file to it without blurring the text. Strip hidden author details before documents leave the agency.
Where Macaaw fits in a lettings agency
A single let can produce twenty documents: the agreement, the inventory, certificates, the deposit paperwork and the how-to-rent guide. Most of that work is moving PDFs around, so the tools that merge, number and shrink files run in your browser and never leave your computer.
The server tools, such as compression and text recognition, run in London and delete your files within 2 hours. Agreements sent for signature are the exception: they are kept encrypted until everyone has signed, then for 30 days so you can download the signed copy, and you can delete them sooner.
Macaaw does not supply tenancy templates or legal forms: you keep using the documents from your agency, your redress scheme or your solicitor. What it does is make those documents quick to assemble, sign and send. Pricing is per user, so a two-person lettings office and a twenty-branch group pay the same rate, and allowances are pooled across the workspace, which helps in the summer when most tenancies start and renew.
Playbook
A tenancy pack in four steps
Save it once as a workflow and every negotiator in the branch can run it the same way.
Gather the documents
Drop in the agreement, the certificates and the leaflets, or scan the signed-off inventory with Scan to PDF.
Merge in order
Drag the files into the order tenants expect and add page numbers so everyone refers to the same page.
Compress for email
Make the pack small enough to send by email and to upload to your property management software.
Send for signature
Add the tenants and guarantors, set the signing order and send. You get the signed PDF and its certificate when the last person signs.

Questions
Letting agents ask
Can tenants sign a tenancy agreement electronically?
In England and Wales an electronic signature is valid for most tenancy agreements, including most assured shorthold tenancies. A lease that must be made by deed, such as most leases of more than three years, needs extra formalities including a witness, so check with your solicitor. Scotland and Northern Ireland have their own rules.
Do tenants need a Macaaw account to sign?
No. They open the link in their email, read the document and sign on any phone or computer. Only the person sending the agreement needs an account.
How long do you keep our files?
Files used by a tool are deleted within 2 hours, or sooner under your workspace policy. Agreements sent for signature are kept encrypted until everyone has signed and then for 30 days, unless you delete them first.
Can the whole branch share one tenancy pack workflow?
Yes. On Business, save the steps once as a workflow and share it with the workspace, and anyone can run it on up to 200 files at a time.
Can I use it for landlord statements and contractor invoices too?
Yes. The same tools merge monthly statements, compress invoices for email and make scanned receipts searchable, so the accounts team can use the plan you already pay for.
Legal information on this page is general guidance for England and Wales, not legal advice. Scotland and Northern Ireland have their own rules, and deeds or documents that must be witnessed need extra formalities.
