What advice firms use it for
Built for the paperwork around advice
Client agreements and fee letters, signed
Fill in the client agreement on screen and send it for signature. Joint clients sign in the order you choose, and the certificate records each step.
Annual review packs
Merge valuations, the review letter and fund factsheets into one pack with page numbers, then compress it so it goes by email or into the client portal.
Provider statements to spreadsheets
Turn tables in platform and pension statements into Excel so a paraplanner can check the figures without retyping them.
Reports archived as PDF/A
Convert suitability reports from Word to PDF, then to PDF/A, the archive format designed to open the same way in years to come.
Personal data sent safely
Protect a pack with a password before it goes by email, and redact account numbers from documents you share with a third party.
Old files made searchable
Scan paper client files with your phone and recognise the text, so a name or a policy number can be found in seconds.
Where Macaaw fits in an advice firm
Advice firms spend a lot of time assembling documents: fact-finds, reports, provider statements and review packs. Macaaw speeds up that assembly. It does not give advice, hold client money or replace your back-office system; it prepares the PDFs that go into it. Most firms already have a back-office system and a client portal, but the documents still need putting together by hand. That is the part Macaaw makes quicker.
Merging, redaction and signing your own documents run in your browser, so those files never leave your computer. Conversion, compression and text recognition run on our servers in London and are deleted within 2 hours. Business workspaces can require a passkey or two-step sign-in for every member.
Your compliance team decides what records to keep and where. Macaaw keeps tool files for hours, not years, so download the finished PDF/A and file it in your own system. Agreements are kept encrypted until everyone has signed and then for 30 days.
Playbook
An annual review pack in four steps
Save it as a workflow and every adviser and paraplanner builds the pack the same way.
Gather the documents
Drop in the valuation, the review letter and the factsheets, converting any Word or Excel files to PDF.
Merge in order
Put the letter first and the supporting documents after it, then add page numbers so the client can follow the meeting.
Compress and protect
Make the pack small enough to email and protect it with a password you give the client separately.
Archive the report
Convert the final report to PDF/A and file it in your back-office system.

Questions
Advisers ask
Can joint clients sign the same agreement?
Yes. Add both as signers, choose whether they sign in order or in any order, and each gets their own link. The signed PDF carries a certificate listing both.
Is Macaaw a record-keeping system for regulated advice?
No. It is a document tool: files used by a tool are deleted within 2 hours. Keep finished documents in the system your compliance team approves.
Can we require stronger sign-in for staff?
Yes. A Business workspace can require two-step sign-in, by passkey or authenticator app, for every member, and limit which sign-in methods are allowed.
What is PDF/A?
PDF/A is a version of PDF meant for long-term archiving: fonts are embedded and nothing depends on outside content, so the file opens the same way years later.
Can a signer be asked for a code?
Yes. Set an access code when you send, and tell the client the code by phone. They must enter it before they can see the document.
Can we turn provider statements into spreadsheets?
Yes. PDF to Excel converts the whole statement, and Extract tables exports only its tables to Excel or CSV. Scanned statements work too, because text recognition runs first. Check the figures against the original before you rely on them.
