What consultancies use it for

Built for client work, from proposal to final report

  • Proposals and statements of work, signed

Convert the proposal from Word, place signature fields for the client and your partner, and send it. Reminders chase the client until it is signed.

  • Contract drafts compared

Compare the client’s returned draft with the one you sent, to see every change in the text before you agree to it.

  • Client-ready reports and decks

Turn PowerPoint decks into PDFs, compress them for email and stamp drafts with a watermark so they are not mistaken for the final version.

  • Workshop whiteboards and notes

Capture whiteboards with Macaaw Scan, which has a whiteboard mode, then recognise the text so the notes can be searched later.

  • Data room and due diligence packs

Merge the documents into one indexed pack with page numbers and protect it with a password before it goes to the other side. Each document keeps its own page numbers in the index, so both sides can refer to the same page.

  • Expenses for rebilling

Scan receipts on the road with Macaaw Scan, which reads the merchant, date, total and VAT, and build an expense report to rebill the client.

Where Macaaw fits in a consultancy

Consulting, advisory and other professional firms sell expertise, but much of the working day goes on documents: proposals, contracts, reports and the evidence behind them. Macaaw makes that part quicker, whether you are a sole practitioner or a firm of a hundred. It covers management consultants, advisory firms, research and training providers, and the many specialist firms that bill for their time.

Merging, watermarking and signing your own documents run in your browser, so client material never leaves your computer. Conversion, comparison and compression run on our servers in London and are deleted within 2 hours. Our staff never open your files.

Teams can save their steps as workflows, such as converting, numbering and watermarking a report, and share them across a Business workspace. Developers can also add the same tools to a client portal through the PDF API.

Playbook

A signed statement of work in four steps

Agree scope and fees in writing before the work starts.

  1. Prepare the document

Convert the statement of work from Word to PDF and merge in the proposal it refers to.

  2. Check the client’s changes

If the client returned a marked-up draft, compare it with yours to see every change.

  3. Send for signature

Add the client and your partner as signers in order, with reminders on, and send.

  4. Keep the signed copy

Download the signed PDF with its certificate and file it with the engagement.

Save it as a workflow

Is an electronically signed statement of work binding?

In England and Wales an electronic signature is valid for most commercial contracts, including proposals and statements of work. Contracts made as a deed, and documents that must be witnessed, need extra formalities, so check with your adviser. Scotland and Northern Ireland have their own rules.

Do clients need an account to sign?

No. They open the link in the email and sign on any phone or computer. Only the sender needs an account.

Can anyone at Macaaw read our client files?

No. Staff never open your files. Browser tools never upload them, and server tools delete them within 2 hours.

Can the whole firm use the same workflow?

Yes. On Business, saved workflows are shared across the workspace, so everyone prepares documents the same way.

Can we add signing to our own client portal?

Yes. The PDF API includes documents and e-signature with webhooks and embedded signing, with a free sandbox to try it.

Can we keep client documents in Macaaw?

If you choose to switch on the cloud library, files are stored encrypted and can be shared with your Business workspace. Otherwise files used by a tool are deleted within 2 hours, and you keep the finished documents in your own system.

Legal information on this page is general guidance for England and Wales, not legal advice. Scotland and Northern Ireland have their own rules, and deeds or documents that must be witnessed need extra formalities.

Less time on documents, more time billable.
